Love SwimRun UK Rules and Terms and Conditions

The following Love SwimRun Race Rules and Terms and Conditions for the UK are deemed to have been accepted when you enter The Welsh Winter Swim event. Please read them carefully before entering.

1. Race organisation

The Welsh Winter Swim is organised by Love SwimRun Ltd.
Registered in England and Wales, Registration No: 11962237.

2. Entry pre-requisite

2.1 To participate in a Love SwimRun event in the UK you must be a strong and experienced outdoor swimmer.
2.2 You must be over 18 years of age on the day of the race to enter the event.

3. Race course

The Welsh Winter Swim will take place in Padarn Country Park, Llanberis, Snowdonia National Park, North Wales, UK.

3.1 The race course will be marked and marshaled.
3.2 Participants must follow the marked course and instructions of marshals at all times.
3.3 Participants that do not follow the marked course or instructions given by marshals will be disqualified.
3.4 We reserve the right to amend the course subject to weather conditions and the requirements of the management of Padarn Country Park and other land owners. Any changes will be explained in detail during the Race Brief.

4. Equipment


4.1 Mandatory equipment for wetsuit participants
– 1 wetsuit
– 1 pair goggles
– 1 swim cap


4.2 Mandatory equipment for non wetsuit participants
– Suitable swimwear (shorts style suits and rash vests are acceptable. No neoprene other than that listed below)
– 1 pair goggles

4.3 Extra equipment that IS allowed for both wetsuit and non wetsuit swimmers
– Neoprene swimming gloves (NOT webbed)
– Soft neoprene swimming socks/shoes
– Neoprene swimming hat (worn under your mandatory swim cap)
– Rash vest

4.4 Equipment that IS NOT allowed for both wetsuit and non wetsuit swimmers
– Flippers
– Hand paddles of any kind or webbed gloves
– Any floatation aid other than a tow float

4.4 Equipment that IS NOT allowed for non wetsuit swimmers
– Neoprene shorts
– Neoprene vest

5. Timing & Cutoffs

5.1 Whilst there is no official cuts off time for any pf the races, the race organisers and appointed staff can retire a participant at any time if they judge them not capable of finishing due to fatigue or poor physical condition.
5.2 If you are asked to retire from the race you must do so without question or complaint.

6. Swimmers responsibility

6.1 General

6.1.1 The participants must know the rules and follow these.
6.1.2 The participants shall respect other participants, Love SwimRun members and volunteers, spectators and the people living in the race area.
6.1.3 The participants are not allowed to use unfair methods to get advantages.
6.1.4 Participants compete in this event entirely at their own risk.
6.1.5 Participants must sign the event disclaimer at Registration. Participants who have not signed the waiver will not be allowed to start the race.

6.2 During the race
Rules – The rules are simple! Infringe any of them and you will be disqualified!

6.2.1 The participants are taking part at their own risk and can not hold Love SwimRun or any of its members or volunteers responsible for any accident during the race.
6.2.2 Participants must offer assistance in case of emergency.
6.2.3 Participants that withdraw from the race shall report this as soon as possible to the organisers.
6.2.4 Littering will not be tolerated and any participant seen dropping litter will be disqualified.
6.2.5 The race organisers can prevent a participant from continuing if they judge them not capable due to  fatigue or poor physical condition. If you are asked to retire from the race you must do so without question or complaint.
6.2.6 The course is in a lake open to public. Any disregard for other users (on land or in water) or dangerous or offensive behavior, including being rude to race officials will result in disqualification.
6.2.7 The use of headphones is prohibited.
6.2.8 The use of any swimming aids, such as flippers or paddles, is prohibited.
6.2.9 The use of any performance enhancing drugs can be used or substances that preserve or increase body heat, is prohibited.
6.2.10 In the head-up breaststroke race you must ensure that your eyes do not go below the water level at any time during the race
6.2.11 False starts will be disqualified
6.2.12 Any short cutting will result in disqualification. You must complete the full course by rounding the buoys.
6.2.13 Do not swim under the influence of drugs or alcohol.
6.2.14 To be eligible for a podium position prize swimsuits must be worn (no wetsuits). Swimsuits may not go beyond the top of the knee or past the shoulder (i.e. they must not have legs or sleeves) and cannot provide the swimmer with thermal protection or buoyancy.
6.2.15 Wetsuits may be worn but you will be ineligible for any prizes except Best Hat of the Day.
6.2.16 The organiser’s decision on whether or not a swimmer is attired appropriately will be final.
6.2.17 The organiser’s decision on whether or not a swimmer has infringed any of the above rules will be final.

7. Complaints & protests

7.1 A protest must be given in writing to the race organisation within an hour of race results being announced.
7.2 A protest must include:
 Time and location
, participant number/s, the reason for the protest
 – If possible include a witness with name and contact details or team number.
7.3 A protest that does not comply with the above will not be considered.
7.4 The protest will be reviewed by the Organisers and a decision communicated to those involved as soon as possible
7.5 The Organisers reserve the right to use “common sense” to take decisions about situations that aren’t clear in the rules
7.6 The Organisers decision is final
7.7 All other complaints must be made in writing to the race organisers using the contact details at the top of the page.

8. Disqualification

Failure to follow the rules will lead to disqualification

9. Cancellation & entry changes

9.1 Cancellation of your online application can be made in accordance with online selling law up to 14 days after purchase, except where your application is made within two weeks of the event date. Within this time period a refund will be given minus any transaction fees from Entry Central.
9.2 After the time period stipulated above your application is final. No refunds of entry fees will be given including in circumstances where you are unable to attend due to illness or injury or a scheduling conflict, unless: 1) the Organiser cancels or  makes a significant change to the location of the event or the date of the event so that you are no longer able to attend, except where these changes are made due to unavoidable circumstances such as extreme bad weather where safety of the participants would be put at risk. In the event of complete event cancellation in these circumstances you will be offered credit voucher to enter the event to following year. In the event of cancellation or date changes, no other costs or expenses incurred by you will be covered by Love SwimRun. We recommend you take out sports event insurance and travel insurance to cover these eventualities.
9.3 You may defer your entry to the following year, or transfer onto another Love SwimRun event of the same or lesser value, up to 6 weeks before the event date. You may defer or transfer your entry once and there after your entry will be non transferable / non deferrable. Deferrals and transfers are subject to a £10 administration fee. .
9.3 You may transer your entry into another name once. Please inform event organisers using the Contact page.
9.4 Any changes you make to your entry will be subject to an administration fee of £10.
9.5 Re-sale of entries is forbidden. Any transfers of your event entry to a third party (see 9.3) will be subject to the consent of the Organiser.
9.6 Deadline for changes to your entry: 14 days prior to the event date.

10. Pictures and film free rights

The participants gives the race organisation the right to use pictures and film material taken during the race to be used free of rights in marketing, press material, internet, television and movie.

All images and rights from the event are reserved. All unauthorized commercial use of images will be legally addressed.

11. Accepting the rules

By entering the race, each participant accepts the rules in full.
